Stages (the candidate pipeline)
Move candidates through pipeline stages, and add, rename, reorder, or remove the stages on a form.
What it is
Stages are the columns of your hiring pipeline. Every form starts with three default stages - New, Shortlisted, and Archived - and you can add your own (for example Interview). On the Responses page, each stage is a tab with a count, and every candidate sits in exactly one stage.
Move a candidate to a stage
- One candidate: open the candidate (or use their row) and pick a new stage from the stage control. You can optionally send a message at the same time (a "move and message" dialog appears for candidates who have an email).
- Many candidates: select rows with the checkboxes, then use Move / Move All to {stage} in the bulk-actions bar. See Bulk actions on candidates.
When you move candidates you can also send them a message in the same step (e.g. a rejection when archiving, or a next-steps note when shortlisting).
Configure the stages on a form
Click the + next to the stage tabs to open the Manage stages dialog, where you can:
- Add a stage - type a name in Add another stage… and click Add. New stages sit between New and Archived.
- Rename a stage - edit its name.
- Reorder stages - drag to change the order (New stays first, Archived stays last).
- Delete a stage - remove it; candidates in that stage move to a default stage.
Notes & limits
- New, Shortlisted, and Archived are the defaults; New is always first and Archived always last.
- Stages are per form. To change the default stages applied to new forms, set your workspace's default stages - see Default pipeline stages.
- Anyone with access to the form can move candidates and configure its stages.
- Moving to a stage is different from deleting a candidate - archiving keeps them, deleting removes them (see Delete a candidate).

Open a candidate to see their answers, files, AI review, comments, interviews, and message thread - and act on them.
Search and filter candidates
Find candidates by name or email and narrow the list with filters (stage, label, answers, comments, message status, attachments, and more).
