Delete a candidate

Remove one or more candidates (submissions) and all their data from a form's Responses page.

What it is

Deleting a candidate removes that person's submission and all their data from the form. It's different from archiving - archiving just moves a candidate into the Archived stage and keeps them; deleting removes them entirely. You can delete one candidate or several at once.

There are two ways to delete, with slightly different confirmation wording.

Delete many at once (Responses page)

  1. Open the form's Responses page.
  2. Select the candidate(s) using the checkboxes on the left of each row (tick one, several, or use the header checkbox to select all).
  3. In the bulk-actions bar at the bottom, open the ··· menu and click Delete.
  4. Confirm in the dialog - "Delete {N} candidates" (or "Delete candidate") / "Are you sure? This will permanently remove these candidates and all their data."
  5. Confirm - they're removed from the list.

Delete one (from the candidate view)

  1. Open the candidate from the Responses page.
  2. Click the ··· menu at the top of their card and choose Delete.
  3. Confirm - "Are you sure?" / "This will permanently delete this candidate and all associated data like messages and notes."Confirm.

Notes & limits

  • Works for one or many - select a single candidate or a whole batch, then delete.
  • Removes everything for those candidates (answers, files, chats). There's no undo in the app, so use archive instead if you just want them out of your active view.
  • Anyone with access to the form (its editors, including workspace Admins) can delete candidates.
  • Deleting candidates does not delete the form itself - see Delete a form for that.
